The incumbent is responsible for providing comprehensive support to the office of the Managing Directors and by extension support to other departments aiding in the daily smooth operations of the Business

Scope of Responsibilities

  • Ensure that the office database and filing system is up to date and organized
  • Answer, screen and transfer phone calls; take messages for select staff members
  • Receive, sort and deliver mails
  • Maintain office calendar
  • Prepare and Send Proforma Invoices
  • Prepare Quotation for Special Order Request
  • File and Document all Invoices for Payable and Receivables
  • Prepare Tax Invoices for Vehicle Transfer
  • Provide general clerical support to the Marketing and Sales Departments
  • Document and Send Tax invoices to Accounts department
  • Dispatch bearer
  • Monitor office stationery and supplies and make requests for replenishment
  • Ensure the office surroundings are kept clean and organized
  • Manage and update Vehicle Database
  • Perform errands on behalf of the company for Eg. collect office supplies
  • Any other similar duties assigned from time to time.

Qualifications and Experience

  • Bachelor’s degree in Management Studies or Business Administration with two (2) years experience in administration or Four (4) years consistent experience in administration.
  • Experience in the Motor Vehicle industry is an asset

Skills, Behaviours and Competencies required

  • Proficiency in the use of Microsoft Office Suite, particularly MS Excel application
  • Excellent leadership, team building and interpersonal skills
  • Attention to details
  • Knowledge and experience of accounting software is an asset.
